Are You Paying Too Much for Your CRM? (2026)

Are you paying too much for your CRM? A notebook and coffee on a cafe table

A CRM should be the calmest place in your business: every customer, every enquiry, every follow-up, in one spot. For a lot of small businesses it's become another bill that grows every time they hire someone, plus three more tools bolted on the side.

Here's what CRMs really cost in 2026, where the money leaks, and what a small business actually needs.

The per-seat trap

Most CRMs charge per person, per month. The entry plans look small on their own. Published list prices on yearly billing, as reported in 2026, sit around:

  • Zoho CRM Standard: about US$14 per user a month (Costbench)
  • Pipedrive: about US$14 to US$24 per user a month, depending on the plan you really need (Costbench)
  • Capsule Starter: about US$18 per user a month (Agiled)
  • HubSpot Starter: about US$15 to US$20 per seat a month (Dupple)

Multiply by a team of five and twelve months, and you're at roughly US$840 to US$1,440 a year before tax, before you've sent a single email. Prices change, so check each company's current pricing, but the shape is the same everywhere: every new person adds to the bill.

Where the money really leaks

The seat price is usually the smallest part. The bigger costs are the ones you meet later:

  • The tier cliff. The moment you need automation or reporting, you're pushed up a tier. HubSpot's step from Starter to Professional is reported at around US$90 a seat (Dupple).
  • Email and texts, sold separately. Many CRMs keep your customers in one tool and charge again to email or text them from another.
  • Tools that don't talk. Your ads in one place, your shop in another, your books in a third. You become the glue, copying names between them.
  • Time. The most expensive line of all: the hours spent keeping it all up to date.

Why one place matters

When everything sits together, you stop switching between tabs and start seeing the business:

  • Focus. One screen for every customer, so nothing slips between tools.
  • Better decisions. You can see who's new, who's been quoted and who's gone quiet, at a glance.
  • Collaboration. Everyone works from the same list, with the same notes and history.
  • Forecasting. Put a value on every deal and you can see what's in your pipeline, not just what's in the bank.

What a small business CRM actually needs

  1. A simple funnel. New, contacted, quoted, won, regular. If it takes a training course, it won't get used.
  2. Your contacts, easily. Bring them in from Google, Outlook or a spreadsheet, with a note of why each person agreed to hear from you.
  3. Emails to customers, built in. Written in your voice, with a one-click unsubscribe, and no second bill.
  4. Help that knows your business. Suggestions that fit your season, your goals and what you've already sent.
  5. A price that doesn't punish you for growing.

How Soulwidth does it

The Soulwidth CRM is $29 a month, or $290 a year, for your whole business, not per person. It includes:

  • Every customer in one funnel, with a value on every deal
  • Your contacts from Google, Outlook or a spreadsheet
  • Emails to your customers, polished with SOUL, our AI assistant: it knows your season, your goals and your past emails, and shows its sources
  • It works with Facebook, Google, Apple and Stripe, with Xero and MYOB coming soon

When you're ready, add ads on socials, mobile games, YouTube and billboards (ADVERTISE), a shop (SELL), or a website. All in the same place.

Before you renew your CRM, ask

  • What will this cost with one more person on the team?
  • Which features I need are on the next tier up?
  • Do I pay again to email or text my customers?
  • Does it connect to my ads, my shop and my books?
  • Can I get all my data out if I leave?

If the answers make you wince, it might be time for one place, at one price.
